POSITION TITLE: Executive Assistant

POSITION SUMMARY:
The Executive Assistant (EA) provides high-level administrative support to the Executive Director and the NSISP Executive team by organizing files and records, compiling reports, scheduling appointments and meetings, and managing office operations. The EA manages all aspects of the NSISP health insurance program and facilitates the delivery of student records to their home country. The EA manages the day-to-day operations of the NSISP Central Office ensuring office supplies and equipment are ordered and maintained. In addition, the EA supports student arrivals and departures and facilitates the notarization of student transcripts and diplomas with the NSISP Board Chair.
REPORTS TO: Executive Director
REQUIREMENTS:
- College Diploma or certificate in a related field;
- Working knowledge of database management;
- Excellent interpersonal skills;
- Current Nova Scotia driver’s license; and,
- Experience in youth or international programs, experience using databases, and fluency in other languages are considered assets.
ABILITY:
- The ability to work effectively within a team environment;
- Extensive knowledge of spreadsheets and database software, internet, and word processing software;
- The ability to be highly organized and manage large volumes of work;
- Ability to communicate effectively with members of the Nova Scotia International Student Program consortium;
- Ability to effectively communicate with agents of the consortium, international students, and their parents;
- Ability to work effectively with other cultures;
- Ability to maintain, in the strictest confidence, information received concerning confidential matters; and,
- Ability to travel within Nova Scotia and internationally for recruitment trips, agent tours, or other NSISP functions.
TERMS OF EMPLOYMENT:
- Permanent, full-time position
- Annual salary starting at $51,448.80
- A satisfactory Child Abuse Registry Check and a Criminal Record Check, according to NSISP policies and standards, is required.
