Salary $40,877-$51,097 annually (pro-rated for term of employment and depending on qualifications and experience)

Reporting to the Executive Assistant to the Director of Programs and Services, the Programs & Services Secretary is responsible for providing secretarial support to the Programs and Services Department.
Qualifications and Experience:
- Secretarial/clerical training at a Community College or equivalent is required.
- Previous experience working in an office environment is preferred.
- Proven communication skills, collaborative and organizational skills.
- Ability to work independently and accurately on a flexible schedule.
- Knowledge of current office procedures and equipment, bookkeeping and SAP or S/4HANA software.
- Advanced facility with computer software including word processing, spreadsheets, databases, Internet, including email.
- Ability to solve problems independently or as part of a team.
- Ability to exercise good judgement, take initiative and accept responsibility.
- Ability to manage time effectively.
- Enthusiasm and a pleasant manner.
- Experience assisting with functions, such as, inservice support/planning, inventory control.
- Ability to work in an environment with frequent interruptions.
Responsibilities:
- Via phone, person, and email, receive, assess, and respond (where applicable) to inquiries.
- Advanced capability of Microsoft Office, specifically Excel, Word, and Outlook.
- Book meeting rooms on-site and other facilities, arrange aspects for meetings/inservices, including clean-up.
- Post professional development activities to online calendar.
- Supplies and materials orders, creation and completion of purchases requisitions, goods receipt and follow up on processing invoices and distribution of materials, purchase card purchases.
- Electronic inventory control of Literacy/Technology Kit distribution through interschool mail.
- Copy, distribute, and file for various meetings and initiatives.
- Main reception coverage when required.
- Assist Programs & Services with periodic/seasonal priority issues.
